Job Summary
The Coordinator – Facilities Contract Services position within the Facilities Critical Infrastructure group will act as the primary point of contact for outside contractors performing bulk fuel delivery, bulk fuel tank maintenance, landscaping, wildlife removal, and pest control services at company owned offices, substations, microwave towers, and POP sites located throughout Virginia & North Carolina. This position provides overall management of external vendors performing associated services at company owned facilities and serving as the point of contact for internal or external customers seeking support or information regard these services.Specific duties of the position include but are not limited to the following:
Prepares scopes of work and specifications for these services to meet the expectation of service to be performed and the customers expectation.
Assists in the preparation, review and administration of these outside services contracts and provides recommendations on contract renewals, modifications and cancellations.
Ensures all outside services contracts are in line with corporate goals and objectives.
Maintains records to ensure compliance with all federal, state, and local regulations.
Performs site visits to evaluate the quality of services being performed and report findings to service contractors, leadership, and internal customers.
Ensures prompt and accurate payment of contractors while adhering to budgets and schedules.
Works with internal stakeholders and Supply Chain to leverage purchasing power and competition to minimize costs.
Ensures all service contractors are wearing the proper PPE, following the corporate safety policy, in adherence with OSHA regulations and in adherence with all the Terms & Conditions associated with their contract while performing work.
Perform other duties as requested or assigned.
Required Knowledge, Skills, Abilities & Experience
5+ years of directly related experience in project management or managing contracted facility services. A partial year of related work experience of 6 months or greater will be considered one year towards the qualifications.
Knowledge of contract, project, construction, and property management principals.
Knowledge of contract administration, purchase orders and material/service procurement.
Ability to manage budgets to ensure billing accuracy and overall budgets are not exceeded.
Ability to create, adjust, and manage service schedules & frequencies.
Ability to perform inspections to ensure a vendor’s performance is in adherence to the contract, scope of work, and owners’ expectations.
Ability to work independently or in a team environment.
Ability to utilize sound judgment and decision-making skills to solve problems.
Ability to manage contracts at multiple facilities across a large geographic territory.
Ability to travel with occasional overnight stays.
Ability to build strong partnerships with peers, internal customers, and external vendors.
Ability to communicate complex information to all levels of the company, service contractors, and customers.
Excellent written and verbal communication skills.
Strong organizational, prioritization, and time management skills.
Proficient in the use of technology such as personal computers, Microsoft applications, and work management systems such as SAP.
This position will require frequent day trips away from the office.The company is actively seeking United States military veterans and service members who meet the qualifications outlined below.
• Military service members and veterans with ranks from E3-E5, W1-W2, or O1-O3, plus appropriate equivalent combination of education and years of experience as outlined above.
